The Rocky Mountain Expo/Forecast Committee (RMEFC) reserves the right to alter hours if necessary. Exhibitors will be notified of any changes.

BOOTH SPECS
Booths are 10’
Booth fees include an 8’ tall background drape, 3’ tall side drape, company identification sign, 6’ table, two chairs and a trash can.
Note: Exhibit displays must not project to obstruct the view of the adjacent booth. Any exhibitor not complying with this may be asked to dismantle or remove that portion from the exhibit.
There is no storage available in exhibit hall for crates and boxes.

BADGES
Two exhibit badges will be given to companies who purchase exhibit space. The badges will be in the name of the company. Any employee of the exhibiting company may use badges. Badges will allow entry to Exhibit Hall and the general session. Additional badges may be purchased for $50 each. A maximum of two (2) extra passes per booth allowed. No one will be allowed to remain at the Expo, nor the conference, without a visible pass. Companies exhibiting will receive two complimentary lunch tickets.
SALES TAX LICENSE
You must posses Denver and Colorado Sales Tax Licenses if you intend to sell any product during the Expo. Information on Colorado sales tax licenses can be obtained by calling 303.866.5643
SPECIAL VISUAL/SOUND EFFECTS
Audio visual and other sound attention devices and effects shall be permitted only in such intensity that in the sole opinion of RMEFC, it does not interfere with the activities of neighboring exhibitors.
Operation of equipment being demonstrated or used may not create noise levels objectionable to neighboring exhibitors.
DECORATIONS
Decorations, signs, banners, and similar material may not be taped, nailed, tacked, stapled or otherwise fastened to ceilings, doors, walls, glass, columns, painted surfaces, fabric or decorative walls.
Helium balloons may not be sold or distributed inside the facility.
No pressure-adhesive stickers, decals, or similar promotional items may be distributed in the building.
Glitter is highly discouraged and an additional clean-up charge may be assessed if used.
FIRE REGULATIONS
Materials used in the construction of displays must be fire resistant. This includes draping, table coverings, banners, props, scenery, evergreen trees, bark, angel hair, shrubs, etc. All exhibits, displays, etc., are subject to inspection by the Fire Prevention Bureau. Easels, signs, etc., shall not be placed beyond a booth area into aisles.
Acoustical and decorative material including, but not limited to, cotton, paper, moss, split bamboo, and the like shall be permitted only by approval of the Denver Convention Complex. All live trees must have the root system contained. Trees without root systems shall be treated as any other display decoration requiring fire retardant treatment.
The use of compressed gasses, flammable or combustible liquid, hazardous chemical or materials, fireworks, pyrotechnic, and explosives are strictly prohibited. Open flame use such as lanterns or candles is also prohibited.
ELECTRICITY & PHONE LINES
Electricity and phone lines can be purchased through the Client Utilities Department of the Denver Convention Complex (DCC). Contact the DCC Directly, 303.228.8091, April Ramey.
CANCELLATION
Exhibitor must notify Booth Coordinator in writing of Exhibitor’s intent to repudiate the contract after acceptance, but prior to October 2nd, 2008 there will be a $75 administration charge. RMEFC reserves the right to retain full exhibit fee after October 2nd, 2008.
FAILURE TO OCCUPY
Unless a request for delayed occupancy is received and approved by Event Coordinator, the exhibitor shall forfeit any space not occupied by the start of the show, and space may be resold, reassigned, or used by RMEFC without refund.
Booths must be attended by exhibitor representatives at all times during the show hours. Failure to do so may result in denial of space in future expos.
SECURITY
Each exhibitor is responsible for his/her own property. RMEFC is not responsible for any theft or damage of any property.
SALES RESTRICTIONS
There will be no solicitations or sales beyond the limits of your booth space. No chairs, displays, promotional materials, or other items belonging to an exhibitor will be allowed outside of their specified booth area without special permission from exhibitor Chairperson.
TERMS & CONDITIONS
RMEFC reserves the right to approve all exhibitors and is responsible for the sale of booth space at the Expo. All questions regarding the Expo should be directed to Booth Coordinator. The RMEFC agrees to perform the services covered in the contract of which these terms and conditions are a part.
Both RMEFC and Exhibitor hereby stipulate that all terms and conditions set forth in this contract will be strictly adhered to, and are mutually agreed to. By registering for the Expo 2008, Exhibitor agrees to the following terms and conditions:
- Should the show or any part thereof be canceled, or if exhibit space becomes unavailable, RMEFC shall determine and refund to the exhibitor his or her proportionate share of the balance of the aggregate exhibit fees received that remain after deducting expenses incurred by management and reasonable compensation to RMEFC.
- In no case shall the amount of the refund to the exhibitor exceed the amount of the exhibit fee paid. Reasons for possible cancellations would be fire, strike, war, government regulation, public catastrophe, and an act of God, or any other cause beyond the control of management of RMEFC.
- Neither RMEFC nor any of their representatives shall be held accountable or liable for any damage, loss, harm, or injury to any exhibitor or exhibitors’ representatives from theft, fire, water, accident or any other cause.
- The exhibitor hereby agrees to release RMEFC, its agent employees and volunteers, from any and all claims, demands, suits, liability, damages, loss, attorney fees, and expense of any kind or nature that might result from any damage, loss, harm, or injury to the exhibitor or exhibitors’ representative whether or not by any actions on the part of RMEFC or by their failure to act.
- The exhibitor acknowledges that he/she has not relied on any other representations or guarantees other than the terms and conditions specifically set forth in this agreement.
- Exhibitors are not allowed to make misleading claims or misrepresent their product or services at any time during the Expo.
- Exhibitors may not assign, sublet, or apportion all or any part of booth space contracted without the written approval of Exhibitor Coordinator.
- Failure to comply with any of the rules and conditions in the Expo brochure will prevent your company from exhibiting at future Expos.
